SummaryThe FMLA coordinator will process all FMLA requests and respond to new requests timely within required deadlines established by the U.S. Department of Labor. The FMLA coordinator will also serve as the primary contact for short term disability claims, due to the high correlation of STD with FMLA.
Responsibilities" Process new incoming STD claims from the AmeriGas third party administrator by confirming benefits and setting up files. Contact SSMs to confirm disability date, discuss payroll coding during the waiting period, and identify any issues or concerns to be addressed with DMA by the Disability Benefits Administrator.
" Process STD claim approvals and extensions, noting approvals on biweekly payroll file and claim approval dates on Market Leave report.
" Prepare biweekly STD payroll report and audit payroll proof files for accuracy; notify managers as needed of changes and corrections.
" Send FMLA medical certification forms and required notifications to all applicants for STD benefits and employees who are off work for Workers Compensation claims.
" Process requests for intermittent FML and non-STD/WC related FML (i.e., adoption, family member, etc.) by sending required certification forms and notifications to all applicants.
" Maintain a database of all FMLA requests, type of notifications sent and follow-up on outstanding responses based on regulatory timelines.
" Review incoming and past due responses with Disability Benefits Administrator and issue appropriate approval and denial letters after review is complete, within required timelines.
" Timely notify employees of incomplete certifications, providing instructions to remedy any insufficient information, and monitoring request for timely response.
" Monitor intermittent FMLA usage with field managers and maintain a database of time used; notify employees of time used and time remaining as required under DOL regulations.
" Monitor approved intermittent FMLA requests and request periodic recertification based on DOL regulations.
" Respond to basic questions about FMLA eligibility from employees and field managers.
" Establish and maintain FML files and records as required by DOL regulations.
" Be cross-trained with the Workforce Health Coordinator as a back-up, and assist with various activities as needed during peak workload periods.
" Regularly attend FMLA seminars to remain abreast of regulatory requirements.
Requirements" Bachelors degree preferred
" Prefer minimum 2 years experience in a similar business environment
" Prefer some knowledge of disability, workers compensation, HR benefits and/or medical background
" Would consider new college graduate with appropriate educational or work background and motivation
" Excellent customer service and verbal/written communication skills
" Strong computer skills and familiarity with Microsoft Office, particularly Word and Excel.
" Flexible and able to handle multiple priorities
